1. Introduction

MyDisc respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how MyDisc collects, uses, processes, stores, protects and, where necessary, shares personal information when you use our website, submit a vehicle licence renewal application, upload documents, communicate with us, make payment, use our renewal services, have information managed through the MyDisc Renewal Management Database, or receive renewal-related communications.

MyDisc processes personal information in accordance with POPIA and other applicable South African legislation.

2. Personal information we may collect

Depending on the service requested, we may collect your name, surname, South African identity number or other identification information where required, email address, mobile or telephone number where provided, vehicle registration number, relevant vehicle details, vehicle licence information and expiry date, photographs or electronic copies of a vehicle licence disc, application reference number, application status and history, supporting documents, invoice and payment information, proof of payment, transaction references, correspondence, reminder history, communication preferences and technical information generated by our website or systems.

3. How we collect information

Information may be collected when you scan a MyDisc QR code, access the website or application form, submit an application, upload or photograph documents, provide additional requested information, communicate with MyDisc, make payment, request assistance or submit a subsequent renewal. Where legally permitted and reasonably necessary, information may also be obtained from service providers or authorities involved in a vehicle licence renewal.

4. Why we process information

We may process information to receive and assess applications, identify the applicant and vehicle, validate information, review vehicle licence disc details, identify missing or inconsistent information, process and administer renewals, communicate with applicants, generate a unique MyDisc reference number, provide status information, prepare invoices, reconcile payments, maintain operational and legal records, provide customer support, manage future renewal dates and operate the MyDisc Renewal Management Database.

5. MyDisc Renewal Management Database

The MyDisc Renewal Management Database is an integral part of the MyDisc service. When an application is submitted or processed, relevant customer, vehicle, application and renewal information may be recorded in the database.

The database may be used to maintain customer and vehicle records, previous application records, completed renewals, licence expiry dates, expected future renewal dates, application and renewal history, operational reports, reminder status and continuity between renewal cycles.

Information stored may include customer contact details, vehicle registration and relevant vehicle information, licence expiry date, previous and expected renewal dates, MyDisc reference numbers, application and transaction history, communication and reminder history, privacy acknowledgement records, Service Terms acceptance records and the applicable document versions. Access is restricted to authorised persons who require it for legitimate MyDisc operational purposes.

6. Privacy and terms audit record

When an application is submitted, MyDisc may create an electronic record of the application reference number, submission date and time, acknowledgement of the Privacy Policy, acceptance of the Service Terms, the applicable versions of those documents, and the applicant's renewal-reminder preference. This provides an audit trail of the terms and privacy information presented at the time of application.

7. Future renewals and reminders

Relevant information from a previous application may be used to identify an upcoming renewal, assist with renewal administration, pre-identify the relevant vehicle and reduce repeated data capture. Previous information will not automatically be assumed to remain accurate and customers may be required to confirm or update information before a subsequent renewal is processed.

Where selected and legally permitted, MyDisc may use contact and vehicle information to remind a customer that a vehicle licence is approaching renewal. The reminder option is voluntary and is not pre-selected. Customers may stop optional renewal reminders at any time by contacting enquiries@mydisc.co.za.

8. Billing and payments

MyDisc may process information to prepare invoices, communicate amounts payable, match payments to applications, confirm payment, maintain financial records, process refunds where applicable and meet accounting, tax and statutory obligations. Where an external payment provider is used, payment information may be processed directly by that provider.

9. Vehicle licence disc images and automated validation

Licence disc images may be processed to identify the vehicle, verify information, reduce processing errors and facilitate the requested renewal. MyDisc may use automated systems to assist with image-quality checks, reading or identifying disc information, detecting potential discrepancies, generating references, routing applications and identifying future renewals.

Where automated validation cannot satisfactorily validate an application or document, the application may be referred for manual review. MyDisc will not intentionally make a decision based solely on automated processing where prohibited by POPIA.

10. Information about another person

If you submit personal information relating to another person or vehicle owner, you confirm that you are lawfully authorised to provide that information for the relevant purpose. MyDisc may request evidence of authority where reasonably necessary.

11. Sharing of personal information

MyDisc does not sell personal information. Information may be shared where reasonably necessary with licensing or governmental authorities, authorised licensing agents, service providers involved in processing renewals, payment processors, financial institutions, hosting and technology providers, email and communications providers, delivery providers where applicable, professional advisers, regulators or law-enforcement authorities where legally required.

12. Cross-border processing

Some cloud, hosting, communications or technology providers may process or store information outside South Africa. Where personal information is transferred outside South Africa, MyDisc will take reasonable steps to comply with POPIA, including section 72 where applicable.

13. Security

MyDisc takes reasonable technical and organisational measures to protect personal information against loss, damage, unauthorised access, unlawful processing, alteration, disclosure and misuse. Safeguards may include secure website connections, password protection, access controls, restricted database permissions, secure hosting, backups, security monitoring and limiting access to authorised personnel.

14. Security compromises

Where MyDisc has reasonable grounds to believe that personal information has been accessed or acquired by an unauthorised person, MyDisc will investigate and take appropriate action. Where required by POPIA, affected data subjects and the Information Regulator will be notified as soon as reasonably possible, subject to lawful restrictions.

15. Retention

MyDisc will not retain personal information longer than reasonably necessary unless continued retention is required or permitted by law. Different categories may have different retention periods. Core customer, vehicle, application and renewal-history information may be retained in the Renewal Management Database where a lawful basis exists. Supporting documents and licence-disc images need not be retained for the same period as core renewal-management records. When information is no longer required or lawfully retained, MyDisc will take reasonable steps to delete, destroy or de-identify it.

16. Accuracy

Applicants are responsible for ensuring that information supplied to MyDisc is accurate and complete. Incorrect information may result in delays, manual review, incorrect processing or rejection. Customers should notify MyDisc when relevant information changes.

17. Your POPIA rights

Subject to applicable law, you may ask whether MyDisc holds personal information about you, request access or correction, request deletion or destruction where legally permitted, object to certain processing, withdraw consent where processing is based on consent, object to qualifying direct marketing, change your renewal-reminder preference and lodge a complaint with the Information Regulator.

Requests should be sent to enquiries@mydisc.co.za. MyDisc may need to verify your identity before acting on certain requests.

18. Cookies and website information

The MyDisc website may use cookies or similar technologies required for functionality, security, performance or analytics. Technical information may include browser or device information, access dates and times, technical logs, pages accessed and IP information where generated by relevant systems.

19. Information Regulator

If you have concerns about how MyDisc has processed your personal information, please contact enquiries@mydisc.co.za first so we can investigate. You also have the right to lodge a complaint with the South African Information Regulator. Website: www.inforegulator.org.za. Complaints email: complaints.IR@inforegulator.org.za.

20. Changes to this policy

MyDisc may update this Privacy Policy when services, technology, service providers, legal requirements or privacy practices change. Each published version should contain a version number and effective date. Previous versions may be retained for audit purposes.
